Welcome Aboard and Go Vols!

Congratulations on your new role, and welcome to the Volunteer family. Please use the resources below to aid in your onboarding to the university and the Division of Enrollment Management.

Office hours – Standard office hours are 8:00 am to 5:00 pm (If you feel that you are running late, give your supervisor a call and let them know when you will be in.)

Time sheets are to be filled out and submitted to your supervisor either the last work day of the month (monthly time sheet) or every other Friday (bi-weekly time sheet).

Supplies & Materials Request – If you need desk/office supplies, visit your office supply closet. If the supply closet is out or if you need something special, contact your supervisor or office manager. Most basic office supplies can be ordered easily; if the request is for a larger or more expensive item, please seek approval from your supervisor.

Outlook calendar – Keep your Outlook calendar up-to-date and share with your colleagues. This helps colleagues at the university schedule meetings with you and know when you’re out of the office. New to Outlook? Check out this Outlook Essential Training through LinkedIn Learning.

Telephone Procedures

You will be answering phone calls in the office, and it is encouraged that we all have a uniform way of answering the phone within Enrollment Management. “It’s a great day on Rocky Top” is the greeting that our division has adopted as a way of incorporating the spirit of UT.

Out-of-Office Email – When you will be out of the office, you will need to set up an out-of-office reply. The standard reply message for Enrollment Management is:

“Wish that I was on ol’ Rocky Top down in the Tennessee hills…”

Thank you for your email. I’m currently out of the office. I’ll reply to your email when I return on (insert date). If you require immediate assistance, call (insert number).

Dress code – The general dress code within the office is business casual unless there is an event on campus that would require more professional attire.

  • Big Orange Friday encourages all members of the Volunteer family to wear orange each and every Friday to celebrate and support the university. Jeans are allowed on Fridays.
  • Name tags will be provided, and it is mandatory to be worn every day.
  • Wearing orange is encouraged at any time you are representing The University of Tennessee.

UT Emergency Preparedness Training

Inclement weather policy – The University of Tennessee will remain open except in the most severe weather conditions. The Chancellor (or appointed representative) may officially close or suspend selected activities of the university because of extreme weather conditions. When a decision to close is reached, campus and local radio and TV stations will be notified and the notice will be posted on the front page at utk.edu. Those who have signed up for UTAlert will be notified via text message.
